NotebookLM vs OneNote: Microsoft's closest match is Copilot Notebooks, which grounds answers in up to 300 files. Compare all three on sources, audio and cost.

Searching for Gemini Notebook (formerly NotebookLM) vs OneNote? Microsoft’s real answer to Gemini Notebook isn’t OneNote itself. It’s Copilot Notebooks, an AI workspace that lives in both the Copilot app and OneNote. So this is really a three-way match. Gemini Notebook is for research grounded in your sources. OneNote is for notes you write and keep. Copilot Notebooks is AI over your Microsoft 365 files. Here’s what each one does, what it costs, and how to combine them.

Key Takeaways

  • Copilot Notebooks is Microsoft’s closest match to Gemini Notebook.
  • Copilot Chat users can ground a notebook on 50 references, Microsoft Copilot users on 300 (Microsoft Support, 2026).
  • OneNote is a free note-taking app, not a research assistant.
  • Gemini Notebook’s free tier includes Audio Overviews.

What is Microsoft’s version of Gemini Notebook?

Copilot Notebooks is the closest match. Copilot answers from the files you add, and it “can use up to 300 files in a notebook to generate answers” (Microsoft Support, 2026). Like Gemini Notebook, it’s closed-book by design: Microsoft says it “doesn’t access your entire OneDrive, email, Teams chats, or the web”. It lives in two places, too. The Copilot app has the quicker, lighter view, while OneNote has the fuller workspace, and the same notebook stays in sync between them. In addition, Microsoft says Notebooks makes “documents, decks, audio overviews, mind maps, and study guides” from your sources (Microsoft Copilot Blog, 2026). Its help pages call the feature Microsoft Copilot Notebooks.

So is it a clone of Gemini Notebook? Not quite. It’s built around the files your team keeps in Microsoft 365. Think Word, PowerPoint and Excel files, PDFs, Loop pages and OneNote pages. Weighing other tools too? Our Gemini Notebook alternatives guide covers the wider field.

Where your files already live usually settles this. When we analyzed 1,451 Google autocomplete suggestions for Gemini Notebook topics in October 2026, the OneNote ones included “notebooklm vs onenote copilot”, “notebooklm and onenote integration” and “notebooklm vs obsidian vs onenote”. In other words, people are weighing the whole stack, not one app. Our own audience leans Google, which is worth saying plainly. We analyzed 776 answers to our Kortex MCP waitlist survey, sent from September 19 to October 1, 2026. In fact, 81% said their AI assistant can reach Google Drive. In free-text answers, Google Drive came up by name 40 times and OneDrive just 3. That’s a Gemini Notebook crowd, so weigh our take with that in mind.

How is OneNote different from Gemini Notebook?

OneNote is where you write notes, and Gemini Notebook is where you question sources. Every supported version of OneNote is “free to download and use” (Microsoft Support, 2026). A free Gemini notebook, meanwhile, holds up to 50 sources and answers questions about them (Gemini Notebook Help, 2026). Microsoft’s own side-by-side puts it well. OneNote notebooks are for “long-term note organization and sharing”, while Copilot Notebooks help you “work through a specific project with AI support” (Microsoft Support, 2026). Specifically, OneNote gives you sections, pages, tags, free-form layouts, inking and drawing, plus version history and a recycle bin. What it won’t do on its own is read a stack of PDFs and answer questions about them.

With a Microsoft 365 Personal, Family, Premium or Pro plan, however, OneNote gets Copilot built in, and Copilot Notebooks adds grounded answers on top. Notion users face the same split, which our Gemini Notebook vs Notion breakdown explains. Prefer plain Markdown files? See Gemini Notebook vs Obsidian.

Gemini Notebook vs OneNote vs Copilot Notebooks at a glance

The source caps line up almost exactly. Copilot Chat users can ground a notebook on 50 references and Microsoft Copilot users on 300 (Microsoft Support, 2026). Gemini Notebook allows 50 sources per notebook for free, 300 on Google AI Pro and up to 600 on Ultra (Gemini Notebook Help, 2026). Here’s the full picture.

Line the caps up and the tiers match: 50 at the entry level, 300 on the main paid tier. The real gap is what counts as a source. Both take PDFs, audio and web links, but only Gemini Notebook lists YouTube videos. Copilot Notebooks, in contrast, centres on Microsoft 365 files. For example, add a SharePoint folder, and Copilot “selects up to 300 that are most relevant to your prompt” (Microsoft Support, 2026). Gemini Notebook takes the opposite approach: every source you tick goes into the answer. Consequently, a Copilot notebook can point at a huge team folder, while a Gemini notebook works best as a hand-picked shelf. Which fits your work better: a curated stack or a living folder?

Is Gemini Notebook better than Copilot Notebooks for studying?

Gemini Notebook, for most students and researchers. Its free tier has Audio Overviews, while Microsoft keeps Copilot’s audio overviews for work or school accounts, in 8 languages (Microsoft Support, 2026). Gemini Notebook also reads web pages and public YouTube videos with captions, such as recorded lectures. On top of that, the Studio adds Video Overviews, mind maps, reports, flashcards, quizzes, infographics and slide decks (Gemini Notebook Help, 2026). Copilot Notebooks covers documents, decks, mind maps and study guides, with Excel files and infographics available through Microsoft’s Frontier early-access program (Microsoft Copilot Blog, 2026). For exam prep, therefore, Gemini Notebook simply offers more formats. Our guide to making podcasts in Gemini Notebook shows the audio side in action.

Copilot Notebooks wins on live work files. With a Microsoft Copilot license, it can pull in Teams, SharePoint and OneDrive files, and Microsoft says “References stay current” as that data changes (Microsoft Support, 2026). Similarly, Gemini Notebook keeps Google Drive files in step, since they “sync every few minutes” (Gemini Notebook Help, 2026). So which matters more to you: study formats, or files your team keeps editing?

What does each one cost?

OneNote and Gemini Notebook both start free, while Copilot Notebooks needs a Microsoft license. At work, Copilot Chat is included “at no extra cost” with eligible Microsoft 365 subscriptions for organizations (Microsoft Learn, 2026), and it allows 50 references per notebook. Note one catch, though. Copilot Chat (Basic) users don’t get Copilot in Word, Excel, PowerPoint and OneNote, although it works in Outlook and the standalone Copilot app (UNCW Information Technology Services, 2026). At home, Copilot Notebooks comes with Microsoft 365 Personal, Family, Premium and Pro. Premium, the bundle Microsoft built around Copilot, costs $19.99 a month (CNBC, 2025).

Microsoft 365 Family$12.99 a monthCopilot Notebooks for the owner only, no audio overviews.
Microsoft 365 Premium$19.99 a monthCopilot Notebooks for the owner only, no audio overviews.

Microsoft lists Family at $12.99 and Premium at $19.99 a month, with AI features “only available to subscription owner” (Microsoft, 2026). For teams, a paid Microsoft Copilot license raises the cap to 300 files and adds Teams and SharePoint content as sources.

Here’s the catch most comparisons miss. A Microsoft 365 Premium subscriber pays $19.99 a month for a plan that includes Copilot Notebooks. Yet they don’t get its audio overviews, because Microsoft keeps those for “commercial Microsoft 365 users with work or school (Entra ID) accounts” (Microsoft Support, 2026). Gemini Notebook’s free tier, by comparison, includes Audio Overviews. For a student or a freelancer, that one gap can settle it. A school account changes the picture, though, since it counts as a work or school account. Running a team instead? Our Gemini Notebook for business guide covers the Workspace side.

Which should you choose, and can you use them together?

Pick by where your files live. Copilot Notebooks can ground on up to 300 files in SharePoint, OneDrive and Teams (Microsoft Support, 2026), while a free Gemini notebook takes 50 PDFs, web pages, YouTube videos and Google Docs. And for notes you write yourself, OneNote is still the home base. Here’s the quick version:

  • Take class, meeting or personal notes, including handwriting? Choose OneNote.
  • Ask questions of files stored in SharePoint, OneDrive or Teams? Choose Copilot Notebooks.
  • Research web pages, PDFs and YouTube videos with citations? Choose Gemini Notebook.
  • Study with flashcards, quizzes and Audio Overviews on a free plan? Choose Gemini Notebook.
  • Keep research findings next to your own notes? Use Gemini Notebook plus OneNote.

Most people end up using two of the three. OneNote holds the notes you write, and Gemini Notebook answers questions about what you read. At work, Copilot Notebooks joins in for files that live in Microsoft 365. Here’s a simple loop for Gemini Notebook and OneNote:

  1. Collect sources in Gemini Notebook and ask the questions that need citations.
  2. Save the answers, reports and Studio outputs you want to keep.
  3. Put them in a OneNote section for the project, next to your meeting notes.
  4. Paste your own OneNote notes back into the notebook as a text source when you want AI help with them.

Step 2 is easier than it looks. Notes and reports export to Google Docs, and Slide Decks download as PDF or PowerPoint (Gemini Notebook Help, 2026). Sources and whole chats have no documented export, though. Our guide to exporting from Gemini Notebook covers the workarounds.

How does Kortex get notebook work into OneNote?

Kortex exports what Gemini Notebook keeps in the browser, and we built it to fill exactly that export gap. You can download every source as PDF, Markdown, text or ZIP, and export every Studio note and artifact at once. Chats export too, whole or just the replies you tick. Kortex users have run 200,000+ exports (Kortex, 2026). PDF exports embed straight into a OneNote page, so a notebook’s report can sit next to your handwritten notes. Additionally, Kortex adds collections with subfolders and colours, which will feel familiar if you think in OneNote sections. The free plan includes 10 exports a day, and Pro removes the cap (Kortex pricing, 2026).

So research in Gemini Notebook, keep your notes in OneNote, and let Kortex carry the results across.

Frequently asked questions

Is there a Microsoft version of Gemini Notebook?

Yes, Copilot Notebooks, which lives in the Microsoft Copilot app and in OneNote. It answers only from references you add: up to 300 files for Microsoft Copilot users or 50 for Copilot Chat users. You need one of those licenses, or a Microsoft 365 Personal, Family, Premium or Pro plan.

Is Gemini Notebook better than OneNote?

They do different jobs. OneNote is a free app for notes you write and keep, with sections, pages, tags and inking. Gemini Notebook reads up to 50 sources per notebook for free and answers questions about them with citations. Many people research in Gemini Notebook and keep the results in OneNote.

Can Gemini Notebook replace OneNote?

Not for notes you write and keep. OneNote is free and gives you sections, pages, tags, inking and drawing, plus version history and a recycle bin. Gemini Notebook answers questions about the sources you add, with citations. So most people keep OneNote for their own notes and use Gemini Notebook to research.

Can I add OneNote pages to Gemini Notebook?

Not directly, since OneNote isn’t a supported source type. You can copy a page’s text and paste it in as a text source, up to 500,000 words per source. Copilot Notebooks, by contrast, accepts OneNote pages as references, which helps if your notes already live there.

Does Copilot Notebooks have Audio Overviews like Gemini Notebook?

It has audio overviews with format, voice, style and duration options in 8 languages. However, Microsoft limits them to work or school accounts, so Microsoft 365 Personal, Family and Premium subscribers don’t get them. Gemini Notebook includes Audio Overviews on its free tier.

How can I move Gemini Notebook research into OneNote?

Start with the native route: Gemini Notebook exports notes and reports to Google Docs. Sources and whole chats have no documented export, so Kortex fills that gap with PDF and Markdown exports, 10 a day on its free plan. You can then embed the PDFs in a OneNote page.
