Every team has a shared drive full of documents nobody reads twice. Gemini Notebook (formerly NotebookLM) turns a stack of them into something you can question, and its answers cite the exact passage. For business use, though, the harder questions come before the first upload. Which plan do you need? Where does the data go? Who controls access? This guide covers team use cases, buying options, security, sharing, admin controls and a rollout checklist.

> **Key Takeaways**
> - Gemini Notebook is a core service in Workspace Business and Enterprise plans ([Gemini Notebook Help](https://support.google.com/gemininotebook/answer/16337734?hl=en), 2026).
> - Workspace files and chats aren't used for training or human review, unless you send feedback.
> - AI Expanded Access raises limits and includes the cloud computer.
> - The Google Cloud edition adds CMEK and VPC-SC.

## How can you use Gemini Notebook for business?

Plenty of organizations already do: more than 600,000 of them, Google said on July 16, 2026, alongside more than 30 million people ([Google](https://blog.google/innovation-and-ai/products/gemini-notebook/notebooklm-gemini-notebook/), 2026). Google's own business pitch starts with documents teams already have, such as "training manuals, guides, policy documents, and FAQs" ([Google Workspace](https://workspace.google.com/products/gemini-notebook/), 2026). In other words, you don't need new content to start. The real work is choosing which documents belong together, because a notebook answers only from its sources. For example, an HR notebook that holds this year's handbook next to last year's will cite whichever passage it finds, old or new. Five uses come up most, and each one starts with a small, current set of documents and a named owner who keeps them fresh.

**Onboarding.** Put the handbook, policies and process docs in one notebook. Google says new hires can use it "to quickly find information buried in lengthy documents" (Google Workspace, 2026). Additionally, add an Audio Overview of the first-week reading, so new starters can listen on day one.

**Sales enablement.** Load product specs, pricing sheets and market research. Google pitches this for "tailored meeting plans" and product questions, "for more confident sales conversations" (Google Workspace, 2026). As a result, a rep can check a spec mid-call and see the page it came from.

**Policy Q&A.** HR, IT and legal can publish one notebook of current policies. Share a chat-view link, so staff can ask questions without wading through PDFs. Keep an owner on it, however. Citations make answers checkable, not correct: a 2024 study of AI legal research tools from LexisNexis and Thomson Reuters found they still hallucinated between 17% and 33% of the time, despite retrieval ([arXiv](https://arxiv.org/abs/2405.20362), 2024). Similarly, an outdated policy notebook gives confident, cited and wrong answers.

**Competitive research.** Keep one notebook per competitor, with filings, pricing pages and analyst notes. Notebooks on AI Ultra and AI Expanded Access can "use Google Search to find relevant, high quality sources from the web" ([Google](https://blog.google/innovation-and-ai/products/notebooklm/better-research-notebooklm/), 2026). Our [Gemini Notebook research guide](/blog/notebooklm-for-research) covers the workflow.

**Meeting prep.** Before a renewal call, add last quarter's notes, the account plan and the latest deck. Ask for a one-page briefing with open questions and risks. Importantly, every point links back to its source, so you can check it before you walk in.

Keeping those competitor and account notebooks fed is the chore that slips first.

## Which plan do businesses need: Workspace or Enterprise?

Most companies need no extra purchase. Google's Workspace page says Gemini Notebook is included in all Workspace plans (Google Workspace, 2026), and the help center lists it as a core service in Business, Enterprise, Frontline, Nonprofits and Education editions. Limits rise with the edition, however. Business Starter gets standard access: 100 notebooks, 50 sources per notebook and 3 Audio Overviews a day. Business Standard and Plus and Enterprise Standard and Plus get higher access, with 500 notebooks, 300 sources each and 20 Audio Overviews a day (Gemini Notebook Help, 2026). On top of that, **AI Expanded Access** is a Workspace add-on for Business Standard and Plus and Enterprise Standard and Plus ([Google Workspace Updates](https://workspaceupdates.googleblog.com/2026/02/google-workspace-ai-expanded-access.html), 2026). It lifts the caps again, to 400 sources per notebook and 40 Audio Overviews a day.

| Route | Who it's for | What you get |
|---|---|---|
| Workspace plan | Business, Enterprise, Frontline, Nonprofits and Education editions | Gemini Notebook as a core service, with enterprise-grade data protection |
| AI Expanded Access add-on | Business Standard and Plus, Enterprise Standard and Plus | Expanded limits and higher access to advanced AI features |
| Gemini Notebook Enterprise | Google Cloud customers | A separate app per Cloud project, outside identity providers, VPC-SC, CMEK and data residency |

From our research into Google's help pages while fact-checking this post, one mismatch stands out. The Workspace limits table counts Audio Overviews per day, while Google's limits page for Google AI plans describes compute-based limits that refresh every five hours up to a weekly cap ([Gemini Notebook Help](https://support.google.com/gemininotebook/answer/17670842?hl=en), 2026). So check your own account before you promise a team a number.

**Gemini Notebook Enterprise** is Google Cloud's edition, and its subscription still shows as NotebookLM Enterprise ([Google Cloud](https://docs.cloud.google.com/gemini/enterprise/notebooklm-enterprise/docs/set-up-licensing), 2026). A subscription holds 15 to 5,000 licenses. Google's product page lists $9 per license per month after a 30-day trial ([Google Cloud](https://cloud.google.com/gemini-enterprise/gemini-notebook), 2026), while the licensing docs describe a 14-day trial of 5,000 licenses. Either way, the smallest paid setup is 15 licenses, or $135 a month.

<!-- [UNIQUE INSIGHT] -->
So which route fits? Already on Workspace? Start with the plan you have, and give AI Expanded Access licenses only to heavy users. On the other hand, move to Gemini Notebook Enterprise when people sign in through Entra ID or Okta instead of Google accounts, or when you need data residency. Notably, Workspace data region settings don't cover Gemini Notebook.

## Is company data safe in Gemini Notebook?

Mostly, yes. Google says Workspace users' "uploaded files, chats and model outputs won't be reviewed by human reviewers or used to improve generative AI models" (Gemini Notebook Help, 2026). One exception needs a line in your AI policy, though: if someone sends feedback, Google "may review the full context of that interaction, including your queries, uploads, and the model's responses". In addition, two gaps matter to compliance teams. Data region settings don't apply to data that Gemini Notebook processes and caches ([Google Workspace Admin Help](https://knowledge.workspace.google.com/admin/generative-ai/gemini-notebook/turn-gemini-notebook-on-or-off-for-users), 2026). In fact, Google's audit log announcement says notebooks, sources and chat histories are "stored globally" and don't support data regionalization. Meanwhile, people you share a notebook with can copy it by default, and there's no admin control for that ([Google Workspace Updates](https://workspaceupdates.googleblog.com/2026/08/make-copy-of-notebook-in-gemini-notebook.html), 2026).

<!-- [UNIQUE INSIGHT] -->
That copy default deserves a policy. A copy doesn't sync with the original. Thus, treat Allow copies like a download button. In particular, switch it off on any notebook holding contracts, customer data or unreleased plans. Our [Gemini Notebook privacy guide](/blog/gemini-notebook-privacy) covers personal accounts too.

In contrast, the Cloud edition goes further. It supports VPC Service Controls, customer-managed encryption keys and data residency in a US or EU multi-region. Notebooks can only be shared inside the same Cloud project ([Google Cloud documentation](https://docs.cloud.google.com/gemini/enterprise/notebooklm-enterprise/docs/overview), 2026).

## How do teams share notebooks and track usage?

Sharing works much like Drive. Viewers get read-only access to sources and notes, while Editors can add or remove sources and notes and share the notebook further ([Gemini Notebook Help](https://support.google.com/gemininotebook/answer/16206563?hl=en), 2026). Owners also see analytics on daily users and daily queries for the past seven days. However, they appear only once a notebook is shared with at least 4 other people and has chat activity in the past 7 days, and they refresh about every 24 hours. Chat view is easy to overlook, too. "Copy link to chat view" opens a chat-only page that hides sources and Studio items. Google notes that viewers may still find their way to the hidden material, so treat it as a focus tool, not a permission. Our guide on [how to share a Gemini notebook](/blog/how-to-share-gemini-notebook) covers each option.

<!-- [UNIQUE INSIGHT] -->
That analytics threshold shapes how you publish. For example, a notebook shared inside a four-person team never shows usage data, because the owner plus three colleagues is one short. Want to know if a policy notebook gets used? Then share it with the whole department from day one.

## Can Gemini Notebook analyze business data?

Yes, on eligible plans, where each notebook gets a secure cloud computer. It writes and runs code on your sources, with "more than 100 curated software skills" (Google, 2026). Google's announcement names Google AI Ultra subscribers, Workspace business customers with AI Expanded Access and Pro users on the web (Google, 2026). For analysts, that means numbers get computed from your spreadsheets instead of guessed. Results can come back as PNG or SVG charts, PDF, DOCX, Markdown, CSV, JSON, Excel or PowerPoint files. For instance, try it on a sales export: ask which region grew fastest, and ask it to show the calculation.

## What admin controls does Gemini Notebook have?

Admins turn Gemini Notebook on or off in the Admin console, under Generative AI. They can set it for the whole domain, one organizational unit or an access group (Google Workspace Admin Help, 2026). Audit logs track notebook visibility, user identity, IP address and resource context ([Google Workspace Updates](https://workspaceupdates.googleblog.com/2026/08/introducing-comprehensive-audit-logs-for-Gemini-Notebook-in-the-Workspace-Admin-console.html), 2026). You can review them in the security investigation tool, or export them to BigQuery once you switch that export on. External sharing has its own setting, and it's off by default, so nobody can share outside your domain. Alternatively, admins can allow trusted domains only, any outside address, or public notebooks open to anyone with the link ([Google Workspace Updates](https://workspaceupdates.googleblog.com/2026/09/manage-external-sharing-for-gemini-notebook-in-the-Admin-console.html), 2026). Specifically, they can apply each option to the whole domain, an organizational unit or a group.

We found two controls missing when we went through Google's own pages. There's no admin switch for copying, and no data region control for Gemini Notebook data. Consequently, if either one blocks you, the Cloud edition's project-only sharing and data residency are the better fit.

## A rollout checklist for your team

Start small and measurable. Pilot with one team of at least 5 people, the owner plus four others, so notebook analytics can switch on (Gemini Notebook Help, 2026). Review what happened after 30 days. Then work through this list before you open access to everyone.

1. **Pick the route:** your current Workspace plan, the add-on for heavy users, or the Cloud edition.
2. **Turn it on for the pilot group** only.
3. **Write a one-page data rule** on uploads and feedback.
4. **Set sharing and copies.** Keep external sharing off, and untick Allow copies on confidential notebooks.
5. **Name an owner per notebook** to retire stale sources.
6. **Standardize setups,** for example with a template notebook each team can copy.
7. **Review audit logs and analytics**, then widen access.

## How does Kortex help teams using Gemini Notebook?

**Kortex** is a free Chrome extension with 100,000+ users (Kortex, 2026). It adds import, organization and export around Gemini Notebook. For teams, the useful parts are collections and tags across every notebook, plus a switcher for multiple Google accounts. It also exports sources, notes and chats to PDF, Markdown or ZIP for your records.

On Pro, compare and merge helps when two teams build overlapping notebooks. It shows the source diff and merges notebooks without duplicate sources. Likewise, Pro automations can route new links to the right notebook by URL. There's a free plan, and Pro costs $9.99 a month, or $4.92 a month billed yearly (Kortex pricing, 2026).

## Can Claude or ChatGPT work with your Gemini notebooks?

Yes, through Kortex MCP, though not through Google. Google publishes no public API for consumer Gemini Notebook. **Kortex MCP** is the bridge we built, with 145+ notebook tools ([Kortex MCP docs](/docs/mcp-server), 2026). Claude, ChatGPT, Cursor, VS Code, Windsurf and Zed are among the supported clients. It comes with Kortex Pro and Lifetime. Teams are a minority of the people asking for it, in fact. When we analyzed 776 waitlist answers (Sep-Oct 2026), 117 people (15%) said they work in a team, and 13 asked for ways to share with colleagues. One wrote: "Design the Gemini Notebook to allow colleagues to access information."

Setup is one URL. Paste `https://mcp.kortex-notebooklm.com/mcp` into your client, and it opens a Kortex consent page to sign in. For a script or a machine with no browser, send a Kortex API key as a Bearer header instead. Each call goes to your own Kortex extension, which asks Gemini Notebook with your existing Google session. Therefore, Chrome has to be running, with Kortex signed in. Our guide to [asking your notebooks from Claude or ChatGPT](/blog/gemini-notebook-in-claude) walks through the first cited answer.

Security reviewers will ask about three things (Kortex MCP security docs, 2026):
- Kortex never stores your Google password or cookies, and its server holds no Google credentials.
- New API keys default to read-only.
- Calls are audited, so you can see what a key did.

An assistant can also put a notebook on a clock. Through Kortex MCP it can save a job that runs hourly, daily or weekly: ask a notebook, save the answer, or make an Audio Overview (Kortex MCP docs, 2026). Picture a job that asks three client notebooks what changed every morning at 7, then saves one digest as a note. Our [daily briefing guide](/blog/gemini-notebook-daily-briefing) sets one up step by step. That said, schedules fire from Chrome. A closed laptop runs nothing.

<!-- [UNIQUE INSIGHT] -->
Give this a line in your AI policy. Kortex MCP works per person, not per domain, so the assistant reaches whatever notebooks the signed-in person can open. In addition, anything a tool returns lands in the assistant's chat, where the assistant's data terms apply, not Google's Workspace ones. Accordingly, decide which notebooks people may connect before the first one does. Our guide to [the Gemini Notebook API](/blog/gemini-notebook-api) compares the other routes.

Gemini Notebook gives your team cited answers. Kortex adds the folders, exports and automations a team needs around them, and Kortex MCP brings those notebooks into the assistant your team already uses.

## Frequently asked questions

### Is Gemini Notebook included in Google Workspace?

Yes. Google's Workspace page says Gemini Notebook is included in all Workspace plans, and an admin turns it on in the Admin console. Business Standard and Plus and Enterprise Standard and Plus get higher limits than Business Starter, and the AI Expanded Access add-on raises them again.

### What is Gemini Notebook Enterprise?

It's the Google Cloud edition, formerly NotebookLM Enterprise. It runs at a URL unique to your Cloud project, supports identity providers such as Microsoft Entra ID and Okta, and adds VPC Service Controls, customer-managed encryption keys and data residency. Subscriptions hold 15 to 5,000 licenses, and Google lists $9 per license per month after a free trial.

### Does Google train on company data in Gemini Notebook?

Not on Workspace accounts. Google says uploaded files, chats and model outputs won't be reviewed by human reviewers or used to improve generative AI models. The exception is feedback: if a user shares feedback, Google may review the full interaction, including queries and uploads. Set a clear rule on feedback before you roll it out.

### Can we see who uses a shared notebook?

Partly. Owners get 7-day analytics on daily users and daily queries once a notebook is shared with at least 4 other people and has recent chat activity. Admins get more: Workspace audit logs record notebook visibility, user identity, IP address and resource context, with export to BigQuery.

### What is Gemini Notebook with expanded access?

It's Gemini Notebook on a Workspace account with the AI Expanded Access add-on. Those users see an Expanded badge next to their profile picture and get higher limits, such as 400 sources per notebook and 40 Audio Overviews a day. Workspace customers need the add-on for higher access to advanced AI features, and it includes the cloud computer.
