# Meeting Notes Summary Prompt for Gemini Notebook (formerly NotebookLM)

By **Juli** Updated Oct 26, 2026

This meeting notes summary prompt for Gemini Notebook (formerly NotebookLM) turns a transcript or rough notes into minutes people can act on: a short summary, the decisions, a table of action items with owners and due dates, the open questions and a follow-up email. Add the transcript as a source, tick it, paste the prompt and send. It never fills in an owner or date the meeting did not state.

## The meeting notes summary prompt

```
Turn the selected meeting transcript or notes into meeting minutes.
1. Meeting: title, date and attendees, if the source names them.
2. Summary: 3 to 5 sentences on what the meeting was for and what came out of it.
3. Decisions: a numbered list, one sentence each, with who made or approved each one.
4. Action items: a table with the columns Owner | Task | Due date. Write "not stated" where the source gives no owner or date.
5. Open questions and risks that were raised but not resolved.
6. A short follow-up email to the attendees covering the decisions and action items.
Use only what the source says. Do not invent owners, dates or decisions. Cite the part of the source each item comes from.
```

## When to use it

Use it right after a meeting, while people still remember what they agreed to. It works on a full transcript from your video call tool, a pasted chat log or your own messy notes; the more the source says out loud (“Priya will send the draft by Friday”), the more complete the action table gets. Keep one notebook per project or client and add each meeting as a new source, so the series variation below has the whole history to work from.

## What it returns

Minutes in six labelled parts, with the action items as a table you can paste into a tracker. “Not stated” shows where nobody took ownership or set a date, which is often the most useful thing to raise in the follow-up. The email at the end is a draft: check the names and the decisions against the citations before you send it.

When meetings come every week, so does this prompt.

## Variations

**Across a series of meetings.** Tick every meeting in the project notebook.

```
Across all the selected meetings, list every decision in date order, every action item that was assigned and never reported done, and any topic that keeps coming back without a decision. Cite the meeting for each point.
```

**One person’s actions.** Before a one-on-one.

```
From the selected meeting sources, list every task assigned to [NAME], with the date it was assigned, any due date, and whether a later meeting reports it done. Cite the meeting for each.
```

**Client-facing recap.** Without internal chatter.

```
Write a recap of the selected meeting for the client: what we discussed, what was agreed, what we will deliver and when, and what we need from them. Leave out internal discussion, pricing talk and side comments. Under 200 words, friendly and plain.
```
